You can install from the Shopify App Store and follow this guide.
Have these ready
- Access to connect your supported business system.
- Customer contacts, purchasing locations, prices, terms and product SKUs in that system.
- Access to your wholesale mailbox’s forwarding settings.
That is enough to receive messages and to reply. Access to the DNS settings of a domain you own is optional: it lets replies leave from your own address (step 3).
1. Connect your business system
For Shopify B2B, install the public app from the Shopify App Store and review the permissions on Shopify’s consent screen. Basic, Grow, Advanced and Plus are supported; after connection, OrderJay checks capability per company location.
If a location cannot be served, Connections shows the reason. Check its buyer contact, payment terms, pricing and products before continuing with that location.
Connect one business system per workspace. The first connection establishes it; changing providers later is not currently supported.
Zoho private beta setup
Zoho Inventory + Books is in private beta and is not open for self-serve sign-up. Contact us about access. Your organisation stays in its existing data centre. One JP-hosted organisation is the live verification completed so far.
Before connecting, review how pricing drafts work: OrderJay creates a draft Estimate or Sales Order to read your total, then deletes it when no order is placed. Watch also uses this process. You will see a consumed document number and an activity-log entry.
2. Forward your wholesale emails
In Connections, create a forwarding mailbox. Copy the intake address shown there and add it as a forwarding destination in your email provider’s settings.
The address has this shape: <workspace>.<mailbox>@…. Use your actual address from Connections, not this example.
If your provider asks you to confirm forwarding, complete that step in its settings. Then forward a wholesale message and check that it appears in OrderJay.
Your original mailbox stays in place. OrderJay does not move, label or delete messages in a forwarded mailbox. Direct Google-account connection is not currently open to new merchants; use forwarding.
3. Choose the address replies come from
Replies work as soon as mail is forwarding. Connections shows which address they leave from:
| When | Replies come from |
|---|---|
| From the first forwarded message | Your OrderJay intake address, with your store’s name as the sender’s name |
| Once your own domain is verified | The address you choose on your own domain |
Until your own domain is verified, a reply goes only to a sender whose address passed email authentication in that conversation. Confirm your mailbox address in Connections — a one-time code is emailed to it — and your customers’ answers to those replies arrive in your own mailbox as well.
To send from your own address, start domain verification in Connections. Add the DNS records it gives you at your domain provider, then check the verification status. This needs a domain you own: mail from a free consumer address can be forwarded and answered, but replies cannot leave from that address itself.
Which DNS records will I add?
Connections issues 5 records. These are host patterns only; copy the real hosts and values from Connections. If someone else manages DNS, share those issued records with them.
Scroll sideways to see all columns →
| Purpose | Type | Host pattern |
|---|---|---|
| Ownership | TXT | _tc-verify.<your domain> |
| SPF | MX | send.<your domain> |
| SPF | TXT | send.<your domain> |
| DKIM | TXT | <selector>._domainkey.<your domain> |
| DMARC | TXT | _dmarc.<your domain> |
The first record shows that the domain is yours; OrderJay checks it before anything else and re-reads it daily. Until all of them verify, replies keep leaving from your intake address.
4. Start Watch
Coverage starts from the first message you forward. The last setup step counts what has arrived — retailer emails, other mail and known retailers — and the kinds of work found, so you can check that the right mailbox is forwarding and your buyers are recognised. These are counts of what arrived, not a measure of reply accuracy.
An owner or admin then chooses Start Watch, which saves the first policy version with every kind of work in Watch. If a connected mailbox cannot send replies yet, this step says so and links to Connections. Inspect the predicted replies and orders in Work before enabling automatic work.
Watch sends nothing and finalizes nothing. On Shopify it writes nothing. On Zoho it creates and deletes the temporary pricing draft described above.
When you are ready, enable one kind of work for selected companies with the appropriate limits. You can return it to Watch at any time.
