Start with real messages in Watch. When the results are ready, enable one kind of work at a time. Jobs outside your limits, or needing a decision, come to your team.
Preview the work in Watch
Every kind of work starts in Watch. Open its receipt to see the proposed reply or order, including prices calculated from your records.
Watch sends nothing and finalizes nothing. On Shopify it writes nothing. On Zoho it creates a temporary draft to obtain your own total and then deletes it, verifying that it is gone.
To run an individual prediction, choose Run this one. This is your one-off action and still has a cancel window; it does not turn on automatic handling for future messages.
Enable selected work
In Policy, an owner or admin can move a kind of work to bounded Run. Set which companies it may serve and the limits it must follow:
- The maximum value of a single job.
- The maximum total for one company across 24 hours.
- The maximum number of orders for one company across 24 hours.
All three limits are required for orders. A limit in an incompatible currency stops the job; OrderJay does not guess a conversion. Save the policy to apply it; each save is a new policy version. You can return any kind of work to Watch.
You have time to cancel
Before a reply is sent or an order is finalized, its receipt shows a countdown and a Cancel button. The starting windows are:
Scroll sideways to see all columns →
| Work | Default window | Minimum window |
|---|---|---|
| Order | 10 min | 5 min |
| Quote | 2 min | 2 min |
| Availability | 2 min | 2 min |
| Status | 2 min | 2 min |
You can set a longer window, up to 60 minutes. The minimum is the shortest permitted window, not the default.
On Shopify, cancelling during the window stops the job before anything is written. On Zoho, cancelling also deletes the prepared draft and checks that it is gone; a problem with that cleanup comes to your team. Once the window closes, Cancel is no longer available.
The job is checked again before it runs
- 1
Wait
Your cancel window stays open.
- 2
Recheck
Current records and your policy are checked again.
- 3
Complete or stop
The job runs if checks pass. A mismatch needs your team.
If a price, contact or limit changes, OrderJay stops and shows why. A newer message from the same retailer also stops an earlier held job, so your team can review the latest request.
After creating an order, OrderJay checks the result in Shopify. If it cannot verify the result, the job returns to your team. An order may already exist at that point; check the receipt before taking further action.
When a job needs your team
Open the exception in Work. You will see why the job stopped, the details available, and the actions allowed for that case. Choose an offered action after checking the customer’s request.
- Review or correct the prepared details, then press the main button, which names what it will do — for example “Order at the store’s price” — when that action is offered.
- Reply manually to the verified sender when the request needs your response.
- Add a buyer to the company, or adjust a policy limit when appropriate.
- Dismiss the job with nothing done, or have an admin block further automatic replies to the company.
Available actions depend on the reason and your permissions. On Shopify, adding a buyer is an admin’s action that creates the contact on that company in your store, with permission to order for the location you pick; on Zoho it is recorded in OrderJay only. After a correction, the job goes through the checks again.
If the job’s mailbox cannot send replies yet, the job stops before anything is held, written or sent. Finish the mailbox setup in Connections, then retry the job.
Changes your team always handles
- Changes to delivery addresses, payment terms, bank details or authorised contacts.
- A delivery address in an email that differs from the location on record.
- An order that only says “go ahead” or “same as last time”, without the required order lines in the message.
An unknown or unverified sender does not receive an automatic reply. How buyer verification works.
See what happened in Work
A receipt records the job’s progress: planned, held, then executed, cancelled or failed. Watch receipts show predictions. Open a receipt to inspect the evidence and any linked order; a job needing attention appears as an exception.
